Step 1
Create a New Pipeline
In the left navigation, click “Pipelines.” This takes you to the All Pipelines page. In the top-right corner, click the “Add Pipeline” button (the + icon) to create a new pipeline.
Step 2
Configure Your Stages
When you create a new pipeline, three default stages will appear. From here you can customize the pipeline to match your process:
Add stages — click to add as many stages as you need.
Delete stages — remove any stages you don’t need.
Set win probability — assign a win probability percentage to each stage on the right side. This helps forecast revenue as deals move through the pipeline.
Step 3
Save the Pipeline
Once you’ve set up the correct number of stages and assigned win probabilities, click “Save.” Your pipeline is now created and ready to use.
Step 4
Manage Your Pipelines
Back on the All Pipelines page, you can see a summary of each pipeline including the total number of deals. On the right side of each pipeline, you’ll find three actions:
Action | What It Does |
View | Opens the pipeline’s Kanban board where you can see and move deals |
Edit | Opens the pipeline settings to add, remove, or rename stages |
Archive | Archives the pipeline (removes it from active view) |
Step 5
Add Deals to Your Pipeline
There are four ways to get deals into a pipeline:
Method | How It Works |
Automation | Use the “Add to Pipeline” action in an automation. For example, automatically add all new phone calls or form submissions for a company to a pipeline. |
Bulk from Contacts | On the All Contacts page, select contacts using the checkboxes, click “Bulk Actions,” then choose “Add to Pipeline.” |
Manually (+ Deal) | When viewing a pipeline’s Kanban board, click the “+ Deal” button in the top-right corner to add a single deal by hand. |
Deal trigger | Use the “New Deal in Pipeline” trigger in automations to fire actions when a deal is added. |
Tip: Using automations to add deals is the most hands-off approach. Set up an automation with a trigger (like new phone call for a specific company) and an “Add to Pipeline” action, and every new lead will land in the right pipeline automatically. |
Step 6
Move Deals Between Stages
When you open a pipeline by clicking “View,” you’ll see the Kanban board with your stages displayed as columns. Deals appear as cards within each stage. To move a deal to a different stage, simply drag and drop it from one column to another.
Step 7
Pair Pipelines with Automations
Pipelines become even more powerful when connected to automations. There are two automation triggers that work with pipelines:
New Deal in Pipeline — fires when a deal is added to a specific pipeline. Use this to trigger a welcome message, assign a team member, or kick off a follow-up sequence.
Deal Moved to Stage — fires when a deal is moved to a specific stage. Use this to send a follow-up text, email, or notification when a deal progresses (for example, sending a quote when a deal hits the “Proposal” stage).
Tip: Combining pipelines with stage-based automations lets you build fully automated follow-up sequences that trigger at exactly the right point in your sales process. |
