Automate Reports For Calls and Form Leads

How to automate sending out reports for phone calls and or form submissions.

Step 1

Navigate to Reports

In the left navigation, click “Reports,” then click “All.” This takes you to the All Reports page where you can see any existing reports and create new ones.

Click Create Report

In the top-right corner of the All Reports page, click the “Create Report” button. You’ll be presented with two options:

For your first report, choose “Start from a Template.”

Step 3

Choose Calls or Leads

After selecting the template, you’ll need to pick what type of data the report should include:

  • Leads — includes both form submissions and phone calls in one report.

  • Calls — includes phone calls only.

Make your selection and click “Continue.”

Step 4

Select the Companies

Next, choose which companies the report should pull data from. If the report is for a single client with one company, select just that company. If a client has multiple companies assigned to them and you want one combined report, select all of the relevant companies.

Click “Next” to continue.

Step 5

Select Phone Numbers and Call Options

You’ll now choose which phone numbers to include in the report. You can either select “All Numbers” or pick specific tracking numbers within the selected companies.

You’ll also see an option to exclude menu failed calls. If you don’t want those included in the report, check the box. Otherwise, leave it unchecked.

Click “Next” to continue.

Step 6

Preview and Customize the Report

You’ll now see a preview of the full report. Here’s what’s included:

To edit the cover page, click “Edit.” From there you can update the company name, contact info, choose a different cover design under the “Covers” tab, and adjust the colors to match your branding.

Step 7

Set the Date Range

In the Contents area on the left side of the report editor, scroll to the bottom to find the date range selector. By default it’s set to 7 days. Choose the range that matches how often you plan to send the report:

Important: Make sure the date range you select here matches the schedule frequency you’ll set in Step 9. If they don’t match, the report will either have gaps or overlapping data.

Step 8

Save the Report

Once you’re happy with the report content and date range, save the report. You’ll be redirected back to the All Reports page.

Step 9

Schedule Automated Delivery

On the All Reports page, find the report you just created. In the Actions column, click the “Schedule” button. Here you’ll configure the automated delivery:

  • Frequency — set how often the report goes out. Match this to the date range you selected (every 7 days for weekly, every 30 days for monthly).

  • Recipient email — enter the email address where the report should be sent (typically your client’s email).

  • Require Review — optionally enable this if you want to review and approve each report before it goes out. When enabled, LeadSnap will notify your user account that a report is ready for approval. If disabled, the report sends automatically with no manual step.

Tip: If you’re confident in the report format and just want it running hands-free, leave Require Review off. If you prefer to glance at it before it reaches the client, turn it on.
